Match the facility to how often the need repeats

If the business needs one amount for one event, a fixed-term loan may be simple. If the same gap opens and closes through the year, a line of credit can be more flexible because funds can be drawn, repaid and potentially used again within the approved limit.

The best structure follows the operating cycle. A seasonal retailer, trade contractor and professional practice can all need working capital, but their receipt timing and repayment capacity may look very different.

Use a rolling cash-flow view

List expected receipts and payments by week, not just by month. Include wages, GST, provisional tax, rent, existing loan payments, stock deposits and slower-than-usual customer receipts. The lowest projected balance shows the size and timing of the gap more clearly.

A forecast is not a promise; it is a decision tool. Run a slower-sales case and a late-payment case before choosing the amount.

Keep the purpose commercially measurable

Useful working-capital finance should protect or create value: securing profitable inventory, starting confirmed work, keeping an essential team productive or smoothing a known timing mismatch. Set a point at which you will review whether the finance delivered the intended result.

If the business repeatedly borrows for the same permanent shortfall, look beyond another loan. Pricing, margins, debtor collection, stock levels and fixed costs may need attention as well.
